Policy on the Use of Generative AI in the Writing Process

In response to the growing use of generative Artificial Intelligence (AI) tools in scholarly communication, SAKAGURU: Journal of Pedagogy and Creative Teacher establishes this policy to promote transparency, ethical practice, and academic integrity. This policy provides clear guidance for authors, reviewers, editors, and readers regarding the responsible use of generative AI technologies.

This policy applies exclusively to the writing and editorial process and does not regulate the use of AI tools for research design, data collection, data analysis, or data visualization, provided such use is clearly described in the Method section of the manuscript.

The journal will continuously monitor developments in generative AI technologies and may update this policy as necessary.

Guidelines for Authors

Authors may use generative AI or AI-assisted technologies only to improve language quality, clarity, grammar, and readability of manuscripts. The use of AI must always be accompanied by full human oversight.

Authors must ensure that:

  • AI tools do not generate scientific claims, interpretations, conclusions, or original research ideas without human validation.
  • All AI-assisted content is carefully reviewed, verified, and edited prior to submission.
  • Authors take full responsibility for the accuracy, originality, and integrity of the manuscript content.

Declaration of AI Usage

If generative AI tools are used in the writing process, authors must disclose this usage in the manuscript.

The declaration must be placed at the end of the manuscript, before the References, under a new section titled:

“Declaration of Use of Generative AI in the Writing Process”

Required statement format:

During the preparation of this manuscript, the author(s) used [NAME OF TOOL/SERVICE] to [PURPOSE, e.g., language editing or improving readability]. After using the tool/service, the author(s) reviewed and edited the content as necessary and take full responsibility for the content of the published article.

This declaration is mandatory for all accepted and published articles.

If no generative AI tools were used, authors may state: “Nothing to disclose.”

Exceptions and Clarifications

  • Basic tools such as spell checkers, grammar checkers, and reference managers are excluded from this policy and do not require disclosure.
  • Generative AI tools cannot be listed as authors or co-authors, as authorship implies accountability and intellectual responsibility that can only be assumed by humans.
  • AI tools must not be cited as primary sources.

Evaluation of AI Use

Editors may identify patterns indicative of AI-generated text. The use of generative AI will be evaluated on a case-by-case basis. Inappropriate or undisclosed use of AI may result in revision requests, manuscript rejection, or post-publication actions in accordance with journal ethics policies.

Applicability to AI Used in Research

This policy does not prohibit the use of AI tools in data processing, statistical analysis, learning analytics, or educational data mining. Any such use must be clearly described in the Method section.

Use of Generative AI for Image Creation

  • Explanatory or Conceptual Images: Allowed, provided the images are accurate, verified, and clearly labeled.
  • Artistic or Design Images: Allowed, provided usage rights are clear.
  • Factual or Evidential Images: Not allowed. AI-generated images must not be used as scientific evidence.

Policy for Reviewers

Reviewers must treat all manuscripts as strictly confidential documents. Uploading manuscripts or review content into generative AI tools is not permitted. Reviewers are fully responsible for the content of their reviews.

Policy for Editors

Editors must maintain strict confidentiality throughout the editorial process. Manuscripts under review must not be uploaded to generative AI tools to avoid ethical and privacy violations.

By implementing this policy, SAKAGURU: Journal of Pedagogy and Creative Teacher reaffirms its commitment to ethical publishing, transparency, and responsible use of emerging technologies.
